Optimizing Payroll Administration Through an Integrated Web-Based Information System: A Case Study at PT Barbara Sejahtera Sentosa

Purpose of the study: This study aims to develop a web-based employee payroll information system for PT Barbara Sejahtera Sentosa to overcome fragmented payroll data management, simplify employee and attendance data processing, facilitate salary calculation and salary-slip management, and improve the efficiency and accessibility of payroll reporting.
Methodology: A descriptive qualitative approach was employed using observation, semi-structured interviews, and documentation for requirements identification and system analysis. The system was developed using the Waterfall model with PHP, MySQL, HTML, CSS, and JavaScript. Black-box testing was applied to evaluate system functionality, while a user questionnaire was used to assess usability, information quality, and service interaction.
Main Findings: The developed system successfully integrated employee data, position data, attendance, salary deductions, payroll processing, salary slips, and payroll reports. Black-box testing showed that all tested functions operated according to the expected results. Payroll-report preparation time decreased from approximately seven days to three days, while user evaluation produced an overall satisfaction score of 75%.
Novelty/Originality of this study: This study integrates payroll administration, attendance management, salary processing, reporting, and user evaluation within a single web-based system for a company previously relying on Word, Excel, and paper archives. Its originality lies in combining functional validation, measurable processing-time comparison, and user satisfaction to demonstrate the practical contribution of payroll system digitalization
